Tax & Annual accounts
Set up data source
You normally set the data source in the start guide. If nothing has been selected during the initial setup, click the button Setup data source at the top of the page to select it.
You can always change the data source from Maintenance - Settings - Accounting data. From here, you can also monitor the progress of an ongoing import.
With all data sources, except Manual Entry, you can export your accounting data to a SIE4 file. Learn more about this under the section Export data.
Data source - Bookkeeping & Invoicing
-
It is the accounts of the active company that are used in Tax & Annual accounts.
-
When you work via Practice management the accounts of the client's company are used.
-
All accounting information from the last three financial years is transferred.
-
Source documents, such as scanned images, are included.
-
Many reconciliation appendices are created automatically on import.
Data source - Fortnox
-
To use Fortnox as a data source, you need to activate API integration for each customer company in Fortnox. The choice of data source is made in the start guide and works in the same way as for SIE4 and Bookkeeping & Invoicing.
-
Under Overview, select Import from Fortnox, log in to Fortnox and select the company from which you want to retrieve the accounting. The import will start immediately after you have selected a company.
-
The accounting data is retrieved via the API and handled as a SIE4 import. When importing for the first time (or if the company has been reset), the last three financial years are retrieved. For the current year, verifications for the active period are imported.
-
The date and time of the most recent Fortnox import are displayed in the Overview.
-
When you log in to Fortnox, a login token for the current employee is saved for up to 30 days. Each time you import, the time is automatically extended by 30 days.
Data source - SIE file
-
Select the import file from your computer. Both SIE1 (year balances) and SIE4 (transactions) are supported.
-
You can add as many financial years as you want. Just import more SIE files.
-
The SIE file may be a maximum of 100 MB.
-
You can import the same financial year via SIE file many times without creating duplicate records.
-
When you import a financial year, the previous year's values are automatically included. These are shown in the income statement, balance sheet and annual report.
-
You can import accounts with 4 to 6 numbers in account numbers
-
Import of dimensions includes 1 project and 3 cost centers.
-
It's not possible to change from SIE file to manual entry, only to Bookkeeping & Invoicing
SIE (short for "Standard Import och Export"), is a Swedish, standardised file format designed to simplify the transfer of financial information. It can be used for exchanging data between different programs, i.e. between an ERP system and a tax declaration program or between programs from different software providers. It is developed and maintained by the SIE group. The SIE format standard is coordinated with the BAS chart of accounts and Skatteverket's sru codes.
There are 4 types of SIE files.
- Type 1 (SIE1): Annual balances. The file format contains the year's opening and closing balances for all accounts in the chart of accounts. This SIE format is intended primarily for transfer to tax programs.
- Type 2 (SIE2): Periodic balances, contains in addition to all basic data from type 1 also monthly balance changes for all accounts.
- Type 3 (SIE3): Object balances. The file format is identical to type 2, but balances are also available at dimension/object level, such as cost centres and projects.
- Type 4 (SIE4): Transactions. Type 4 is divided into two subtypes. One for exporting transactions from accounting programs and one for importing transactions into accounting programs.
Tax & Annual accounts supports the import of
Manual entry
- Here, the main purpose is to make it possible to prepare and create an annual report/year-end closing
- You create the financial years from the Overview
- You enter balances (bookkept values before closing entries) manually on all accounts.
- Drill-down doesn't work.
- If change data source to SIE or Bookkeeping & Invoicing, it's not possible to change back to manual entry again
- Transaction analysis is not available
- It is not possible to export closing entries as an SI file.
- Export of SIE4 file is not available
Switch between data sources
This applies in general
- All completed periods are locked permanently, except for year-end closing.
Example: If you make a change in July, January–June (for the calendar year) will be locked. It is not possible to unlock periods retrospectively. - If you have selected SIE1 as your data source, you cannot switch to manual entry. However, you can switch to a larger data source, such as SIE4 or Fortnox.
- Once you have switched from SIE1, you cannot switch back.
- All information from the period when you change data sources will be reset.
Example: If you have worked with periods after March and then change the data source from March, all content from March onwards will be removed. - Older periods are locked for changes and can only be read.
- The Overview now displays Import for the new data source.
- A row is created in the activity log showing:
- when the change was made
- from which period
- who made the change
- When you export financial statements, they are sent to the new data source – Fortnox or SIE file.
Switch from Manual entry to another data source
- Manual entry can only be specified as a data source when running the start-up wizard. It is not possible to switch to Manual entry afterwards.
- If the period is already underway, the new data source will apply from next year.
- If the year has been created but not started:
- the year is removed
- Imports are displayed in the Overview for SIE file
- Years where manual entry is already used will retain that data source. Future years will have the new data source.
- After switching from manual entry, discrepancies may appear in:
- transaction analysis
- the automatic checks
Read more in Error in checks when I have changed the data source from manual input.
Switch between SIE4 and SIE1
- If you have selected SIE1 from start, you can switch to SIE4.
- If you have selected SIE4 from start, it is not possible to switch to SIE1. In that case, the company needs to be reset and set up again with SIE1.
